Information for applicants

  • Here you can read about how your application is processed at the National Museum, and how the museum handles your personal data. Vacant positions at the National Museum are predominantly filled following public advertisement. Vacant positions are announced on www.natmus.dk, on Jobnet, on the Ministry of Culture's website, and possibly in other relevant media.
  • The National Museum, Frederiksholms Kanal 12, 1220 Copenhagen K, is the data controller responsible for the personal data collected and processed in connection with the handling of your application. HRM Talent Solutions is the provider of the system and the data processor.
  • The purpose of the National Museum's collection of information in connection with job applications is to be able to contact and assess applicants who are interested in and qualified for vacant positions at the museum. The purpose is also to be able to offer qualified applicants employment at the museum. During the recruitment process, the processing is carried out in accordance with the General Data Protection Regulation Article 6(1)(e) and the Data Protection Act §§ 8, 11, and 12.
  • We process the information, including personal data, contained in your application, your CV, and other attachments for the purpose of evaluating your application. We recommend that your application does not contain sensitive personal information, such as information that reveals racial or ethnic origin, religion, trade union membership, etc. However, it may be relevant to provide information regarding disabilities in order to exercise the right of priority for a job interview for state jobs in accordance with the rules on compensation for disabled people in employment. If you indicate that you wish to make use of these rules, the museum will process your information in order to comply with applicable legislation, in accordance with Article 6(1)(c) of the General Data Protection Regulation. If the position in question requires you to complete personality tests, skill tests, or similar, you will be informed about this after we have processed your application. The results of such tests are treated confidentially but are included in our assessment of your application. The results will be deleted once the evaluation process is completed. If the museum offers you employment, you may be asked to provide a criminal record certificate and/or a child protection certificate depending on the position. Depending on the position you are offered, you may also be asked to undergo a security clearance. Such information will also be treated confidentially. The basis for our processing of your personal data is your request for us to process your application prior to entering into an employment contract. The collection of criminal record certificates is in accordance with Article 6(1)(e) of the General Data Protection Regulation and Section 8(1) of the Data Protection Act if the certificate contains information about criminal offenses. As part of the recruitment process, we may collect information that is publicly available about you from the internet, including from social media. As part of our evaluation of you and your application, we may obtain references from your former and/or current employers. We only collect references if you agree to it and if it is relevant for the employment. If you do not want the museum to collect references, this may, after a specific assessment, influence whether the National Museum will offer you employment. If information emerges that is significant for whether the National Museum will employ you, you will be made aware of this and given the opportunity to comment before a final decision is made on whether to offer you employment. If no information emerges that speaks against employment, the National Museum will usually inform you that the museum intends to offer you employment in the position. A final offer of employment may be conditional on the National Museum being able to assess the criminal record certificate or conduct a security clearance, as mentioned above. If there is information on the criminal record certificate, or you cannot be security cleared, we will make a specific assessment of whether the circumstances are compatible with employment at the museum. If you are offered a position at the museum, your application and additional personal data collected in connection with the employment will become part of your personnel file with us. If you are not offered a position, your application and other documents in HR-manager will be deleted 6 months after you have created a profile and submitted your application. For scientific positions, the information will be deleted 12 months after you have created your profile and submitted your application. The National Museum stores correspondence with an applicant before or after the recruitment process is completed if it is deemed relevant. The information is stored for 6 months. If you register in the Job Agent, your information will be deleted 18 months after registration or modification of information.
  • Personnel staff have access to your information as well as the recruiting manager along with a hiring committee. If you apply for a scientific position, an expert assessment committee with external representation will have access to your profile and application in the recruitment system in order to assess your research qualifications in relation to the position. For some appointments, the employment is funded entirely or partly by external funds. Some foundations require that, before the museum offers a candidate employment, the application, CV, etc., of the applicant whom the museum intends to offer employment is sent to the foundation. In this context, we share your information with the foundation that fully or partially funds the employment. In certain appointments of managers and deputy directors, your personal information will be shared with a recruitment agency.
  • You have the right to access the personal data that we process about you, although with certain statutory exceptions. You also have the right to object to the collection and further processing of your personal data. Furthermore, you have the right to request that the processing of your personal data be restricted, that your personal data be corrected if necessary, or that your personal data be deleted in certain cases. Under special circumstances, you may also request an overview of your personal data in a well-structured, commonly used, and machine-readable format and ask us to transfer such information to another data controller.
